Challenges

The NYC Department of Energy and Environment mandates that all buildings larger than 25,000 square feet submit an annual energy and water consumption report through the U.S. Environmental Protection Agency’s (EPA) Energy Star Portfolio Manager. Our client, a compliance services company managing multiple properties, faced major operational challenges due to a fragmented and manual data collection process. Critical building information was gathered from emails and spreadsheets, making Energy Star submissions time-consuming, inconsistent, and difficult to manage at scale.

Goals & Objectives

The client needed to modernize and scale their Energy Star compliance operations to meet NYC regulatory requirements efficiently. Their manual, email-driven workflow created bottlenecks, reduced visibility, and limited their ability to manage growing property portfolios. The objective was to build a centralized, automated, and scalable ecosystem that streamlines EPA/ESPM submissions, improves operational transparency, and supports high-volume processing without increasing overhead costs.

Streamline EPA Submissions

Design a structured and automated system to simplify data collection and accelerate Energy Star Portfolio Manager (ESPM) reporting.

Real-Time Compliance Visibility

Enable management to instantly track the status of each property’s compliance application through centralized dashboards and tracking tools.

Reduce Manual Dependency

Minimize human intervention by automating repetitive tasks, data validation, and reporting workflows to improve accuracy and efficiency.

Centralized Data Management

Develop a web-based platform to collect, store, and manage customer building data securely in one unified system.

Seamless System Integration

Engineer automated workflows connecting HubSpot (CRM), Gmail (communication), Dropbox (document storage), and Asana (task management)

High-Volume Queue Architecture

Implement a scalable queue management system capable of handling peak-season request loads without system slowdown or performance degradation.

Solution

A robust compliance management platform written in.NET MVC and C # using a resilient SQL Server backend was built. The solution moved operations outside of inboxes into a standardised digital environment:
This end-to-end system turned a manual administrative burden into an automated, transparent and high-speed compliance engine.

From Drowning to Thriving

We were drowning in emails and spreadsheets trying to manage Energy Star submissions across hundreds of properties. Every compliance season felt like a fire drill. DataSOS came in, understood our pain points immediately, and built us a platform that handles everything automatically. The integrations, the dashboards, the automation. It all just works seamlessly. It's a night and day difference. I honestly don't know how we managed before.
